To our knowledge, Venio systems is the only eDiscovery software provider to offer ECA as a standalone product. Unlike traditional ECA providers, Venio ECA is faster, with more automated steps, and does not lock you into any particular data framework or tool while providing a secure way to upload data and share it with third parties. It was designed and built to index, analyze, and filter large amounts of data quickly. When implemented in-house, Venio ECA ensures complete control of sensitive data, reduced eDiscovery overhead, and mitigated risks.

The Typical eDiscovery Journey

 

Many companies in the industry see the eDiscovery journey as a path to both self-sufficiency and control as the dynamics around volume, complexity, and connectivity continue to play out. 

As of now, most corporations are at Level 1, where their eDiscovery discipline is driven by emails, shared drives, and attachments in social media. Service Providers remain an integral part of the process. At Level 2, companies have determined that they need an in-house eDiscovery team, but it’s a small one, with maybe as few as three people. They are highly efficient, doing pre-processing. They’ve figured out a way to cull data, cut it out, then send the remaining data to service providers.  

Venio ECA allows companies who are at Level 1 or 2 to make the move to Level 3. Some companies have adopted eDiscovery for some ECA and culling-type work, but they still rely upon their trusted partners for most of their processing and review needs.

As many as 70 percent of enterprises will bring more and more eDiscovery work in-house over the next few years, and that means many companies will move to Levels 2, 3, or 4. And though we appear to be far from collectively reaching Level 4, which entails bringing full end-to-end eDiscovery in-house, Venio Systems is already talking to a few organizations who will start testing some variation of that as early as late this year or in early 2022. 

That said, we also believe that the journey will be a little different for each company. For example, it’s unlikely that most companies will be able to (or frankly even want to) bring the entire eDiscovery process in-house. It’s just not a practical or reasonable thing  for them to do. In fact, most will still work with their LSP partners and outside counsel for critical support.

Venio ECA Workflow

  1. Your raw data exists in various forms, including NAS, .PST, Google Docs, Office 365, Microsoft Teams, etc. Venio ECA indexes that data in place, without the need for creating multiple copies. When dealing with that much data in ECA, you don’t want copies created, because the amount of data becomes unmanageable – hundreds of Terabytes, or even Petabytes. 
  2. Venio ECA extracts metadata and stores it in SQL. The content is indexed in the Lucene database. 
  3. Reports are run to gather file types, custodians, dates and timelines.
  4. The data is visualized in the Venio Analytics module, and you can run massively complex searches on Lucene to determine which data is relevant for the case in question. You also have the option to tag the data before, during or after the search. You can refine the search and run reports until a satisfactory result is obtained.
  5. The native files are exported and prepared to send to the third-party processing team. If you are using Venio processing, the native files are extracted and loaded into Venio for eDiscovery processing.
  6. You still have the option to cull the remaining data, as well as the option to add additional data.

As analysis begins on the indexed data, Venio’s native reporting and analysis tools offer a distinct advantage, with visual timelines and email communication of the identified data. Duplicated data and irrelevant system data can be quickly filtered and excluded for analysis or review.  Email thread views let you easily identify missing or deleted email content, and our social network diagram offers a broad visualization of communications with the ability to drill down into individual conversations.
