Venio Systems is excited to introduce its newest solution, Venio ECA. If you didn’t get a chance to attend our informational Venio ECA launch presentation on May 25, please click here to watch the recording, which also includes a product demo.

Venio ECA is the only early case assessment solution to analyze and quickly reduce large amounts of data by up to 90% through in-place indexing, pre-processing, and culling. Quick and powerful reporting, modern UI, and automated workflows provide you with everything you need for decisions regarding which data to share with your partners.

Manage Your eDiscovery Pain Points

Venio ECA has been designed for eDiscovery Directors in large to mid-sized corporations who are looking to address those four pain points: lowering the risk of sharing data, reducing the cost of processing, shortening the time spent on uploading and exporting data, and becoming more proactive.

Manage Risk

Venio ECA will reduce the amount of data leaving your corporate firewall and improve visibility of the data that is being sent out, allowing you to visualize risks in the case data. You’ll be able to access and analyze metadata, text, and reports in-house for maximum security, preventing confidential data exposure. Armed with Venio ECA, you may remove data that could pose corporate risks and/or is irrelevant to the case. Venio ECA lets you securely share the relevant data with your trusted partners.

Control Cost

The most dramatic means to reduce eDiscovery costs is by sending out only relevant data for processing and review. Additional cost savings can be achieved by reducing the amount of employee time needed for case research. Increasing your efficiency with Venio ECA doesn’t mean you’ll be cutting staff; instead, it will allow your existing staff to focus on their regular duties and not spend additional time working on culling data. Venio ECA will also reduce the resources that are required by service providers once the project has gone to processing and review. This, in turn, will save your company additional money.

In a recent online Coffee Talk, Venio Systems CEO Ethan Eisner pointed out that in the year 2020, more data was produced than had been produced in every previous year up to 2017. That rate of growth will continue to increase even more dramatically in the years to come, and finding a way to analyze and manage that data will be a determining factor in whether or not eDiscovery companies can control their costs. Venio ECA offers the solution to this problem.

Save Time

With the AI and machine-learning utilized by Venio ECA, huge amounts of data may be organized and indexed so it can be quickly searched, and the relevant data can be identified. With access to this high-level overview of relevant data, counsel is able to easily and quickly identify what data is there, and what should be shared with service providers. This saves a great deal of time and, in turn, reduces expenses.

Be Proactive

The most successful companies are the ones that are proactive. With ever-increasing volumes of data and increasingly complex data types, it becomes necessary to identify and prepare data for investigation as early in the process as possible. Professionals in the eDiscovery field prefer to get started as early as possible in the case. If they can reduce the amount of data, they can stay ahead of the tight timelines that are part of the business. Venio ECA allows for corporations to become familiar with the data as early as possible so that forethought and complex strategy can come to bear on the case.

Send Out Only the Data You Need

Though Venio has had ECA capabilities for a long time, those capabilities have been integrated within our existing Venio processing platforms. Venio ECA was designed as a standalone product specifically for corporations with a compelling reason to break out an ECA solution. When we talk with executives at leading Fortune 500 corporations, they express concern that as much as 90 percent of the data that they initially receive is not relevant.  Venio ECA delivers a powerful but lightweight solution to analyze and reduce data to be sent to the external partners through extremely fast and scalable architecture and workflow, and also delivers “in-place” indexing, preprocessing, and highly advanced reporting.

To our knowledge, Venio systems is the only eDiscovery software provider to offer ECA as a standalone product. Unlike traditional ECA providers, Venio ECA is faster, with more automated steps, and does not lock you into any particular data framework or tool while providing a secure way to upload data and share it with third parties. It was designed and built to index, analyze, and filter large amounts of data quickly. When implemented in-house, Venio ECA ensures complete control of sensitive data, reduced eDiscovery overhead, and mitigated risks.

Venio ECA is built to support “in-place” indexing of data, which allows for the data to reside in one place, saving storage space on your network. As a result, Venio ECA generates a much smaller data footprint, which translates into cost savings on storage space.

And, even though Venio ECA can be utilized as a standalone product, if you choose to move to a full-fledged eDiscovery solution, Venio ECA has been built on a unified platform of Venio Cloud or VenioOne. That means you can start with Venio ECA and get comfortable with it, then, if you decide to move to the next stage and need a full-fledged platform, the transition is as simple as installing a new license.

The Typical eDiscovery Journey

Many companies in the industry see the eDiscovery journey as a path to both self-sufficiency and control as the dynamics around volume, complexity, and connectivity continue to play out.

As of now, most corporations are at Level 1, where their eDiscovery discipline is driven by emails, shared drives, and attachments in social media. Service Providers remain an integral part of the process. At Level 2, companies have determined that they need an in-house eDiscovery team, but it’s a small one, with maybe as few as three people. They are highly efficient, doing pre-processing. They’ve figured out a way to cull data, cut it out, then send the remaining data to service providers.

Venio ECA allows companies who are at Level 1 or 2 to make the move to Level 3. Some companies have adopted eDiscovery for some ECA and culling-type work, but they still rely upon their trusted partners for most of their processing and review needs.

As many as 70 percent of enterprises will bring more and more eDiscovery work in-house over the next few years, and that means many companies will move to Levels 2, 3, or 4. And though we appear to be far from collectively reaching Level 4, which entails bringing full end-to-end eDiscovery in-house, Venio Systems is already talking to a few organizations who will start testing some variation of that as early as late this year or in early 2022.

That said, we also believe that the journey will be a little different for each company. For example, it’s unlikely that most companies will be able to (or frankly even want to) bring the entire eDiscovery process in-house. It’s just not a practical or reasonable thing  for them to do. In fact, most will still work with their LSP partners and outside counsel for critical support.

Venio ECA Workflow

  1. Your raw data exists in various forms, including NAS, .PST, Google Docs, Office 365, Microsoft Teams, etc. Venio ECA indexes that data in place, without the need for creating multiple copies. When dealing with that much data in ECA, you don’t want copies created, because the amount of data becomes unmanageable – hundreds of Terabytes, or even Petabytes.
  2. Venio ECA extracts metadata and stores it in SQL. The content is indexed in the Lucene database.
  3. Reports are run to gather file types, custodians, dates and timelines.
  4. The data is visualized in the Venio Analytics module, and you can run massively complex searches on Lucene to determine which data is relevant for the case in question. You also have the option to tag the data before, during or after the search. You can refine the search and run reports until a satisfactory result is obtained.
  5. The native files are exported and prepared to send to the third-party processing team. If you are using Venio processing, the native files are extracted and loaded into Venio for eDiscovery processing.
  6. You still have the option to cull the remaining data, as well as the option to add additional data.

Features and Capabilities

Venio ECA allows you to perform three vital tasks: organize, investigate and produce:

Venio ECA was built to support “in-place” indexing of data that allows for the data to reside in one place, saving space on your network. The result is a much smaller data footprint, which translates into cost-savings.  Venio ECA also allows for scalability.  No matter the size and scale of your project, Venio ECA is scalable in pre-processing and searching of your data.  You’ll never be forced to make choices between faster speed and processing more data. Keep adding more 100s of TBs or even PBs of data, and Venio ECA will continue to perform.

Venio ECA delivers immediate access to the metadata and index texts, allowing you to begin your investigation as soon as possible. Early case analysis provides you with the information you need to make key decisions and to identify threats, as well as identify and remove business-critical and PII/PHI information. Why risk exposing IP or sensitive corporate data if you don’t have to? ECA helps you prevent it from ending up in the wrong hands, which could result in irreparable damage to your business.

As analysis begins on the indexed data, Venio’s native reporting and analysis tools offer a distinct advantage, with visual timelines and email communication of the identified data. Duplicated data and irrelevant system data can be quickly filtered and excluded for analysis or review.  Email thread views let you easily identify missing or deleted email content, and our social network diagram offers a broad visualization of communications with the ability to drill down into individual conversations. Auto-collection enables tiered ECA, and logical tagging makes legal ECA teams more productive and efficient.

Venio ECA’s reports allow you to review the volume, custodian, and data types in your data pool, giving you the ability to make quick decisions on relevant data as well as assist you on how to proceed with a case. And Venio’s powerful AI engine eliminates repetitive work by building efficient, customized workflows. Users can leverage this powerful machine-learning engine to organize and reduce case data. You don’t have to wait for a task to be completed because the system takes care of it, including dealing with errors. We’ve had reports of a team of 14 people being reduced to five because they could do so much with Venio’s AI processing power.

Once the relevant data is ready for the next phase of eDiscovery, Venio ECA outputs the data to be sent for eDiscovery processing. These files can be seamlessly passed to Venio Cloud or VenioOne with no further work necessary. Venio ECA is faster, with more automated steps, and does not lock you into any data framework or tool. It offers a secure way to upload data and share it with your trusted third-party service providers. What’s more, we offer unprecedented deployment flexibility. Venio ECA can be deployed as a standalone eDiscovery product. It can also be deployed on-premise, in your own cloud, or you can consume it as part of Venio Cloud, our SaaS service.
